What is a student message?
Student messages are short notification messages that appear on the logged-in student's My Page.
Good to know:
The message can be published so that it is visible to either all students in a programme or only to students in a specific cohort of a programme (an offering of the programme).
Only one student message per programme / offering can be displayed at a time for the student on "My Page."
You can create a message that is shown in Swedish and/or English.
There is no limit to how long a student message can be.
Access to publish
All staff members (including teachers, study counsellors, programme coordinators, and programme administrators) can get access to the function student message on the Student Portal. Please note that this access is not included in any other access role; other web editors must also apply for it.
To be able to publish a student message, the staff member needs to activate a web editor account for the Student Portal, which is then granted the access to manage student messages.
It is the immediate manager who applies for the permission, according to the instructions on the page https://jiragu.atlassian.net/wiki/spaces/RD/pages/3268509762/Redakt+rsorganisation+och+beh+righeter+-+Studentportalen#Studentmeddelanden.
Guidelines and recommendations
Create a student message
Make sure you have selected the correct language version of the Student Portal before you create your message. This is because the message you create will only be displayed for students who have chosen the same language version (you can always create a translation of the message). If your message is in English, choose the English language version, and vice versa. You change language by clicking on 'Svenska' or 'English' in the header.
Click on 'Student messages overview' (in Swedish, 'Översikt studentmeddelanden') in the main menu of the Student Portal.
You will now be directed to an admin page for student messages.
Click on the button ‘+ Add student message’ (in Swedish, '+ Lägg till Studentmeddelande' ).
Now, you'll be taken to a page with an admin form, where you can create your student message, specify who should see it, and either publish it or save it for the future. Fill in the form. If needed, you’ll find instructions below.
When you are finished, click ‘Save’ ('Spara').
When the message is saved, an administrator page opens showing the content of your message. This view is only for you as the creator of the message; it will never be seen by students.
Do you get the error message "Reference is already in use"?
This error message means that you are trying to create a student message for a programme or a programme offering that already has a student message.
To be able to publish your student message, you must unpublish the old student message. Alternatively, you can also edit the old message instead of creating a new one.
Any changes or unpublishing should always be done in consultation with the creator of the student message.
How to fill in the student message admin form
When you want to create or edit a student message, you do so by opening a the student messages admin form. Even though the title of the form varies (create or edit), the content of the form is the same.
How to fill in the form:
Title (titel) = The title that appears at the top of the message, in bold text.
Body = The text that appears under the title in the message.
Programme reference (Programreferens) = Click on ‘Search programme’ (‘Sök program’) to specify that all students in a particular programme should be able to see the message.
or
Offering reference (Tillfällesreferens) = Click on ‘Search programme offering’ (‘Sök programtillfälle’) to specify that students in a specific cohort within a programme should be able to see the message.
You can only choose either a programme reference or an offering reference
Scheduling options (Alternativ för schemaläggning) = My Page should feel relevant and updated for students, and student messages are intended for short, time-bound notices. Therefore, all student messages must have a date for when they will be unpublished.
Save as (Spara som) = Choose status for the student message:
‘Published’ (‘Publicerad’): The message is visible to the students immediately.
‘Draft’ (‘Utkast’): Your message is saved but not visible to the students.
‘Unpublished’ (‘Avpublicerad’): This is only an option for messages that are published and means that the message is no longer visible to students, but can be edited and published again.
Translate a student message
Click on 'Student messages overview' (in Swedish, 'Översikt studentmeddelanden') in the main menu of the Student Portal.
You will now be directed to an admin page for student messages. Here, all student messages that have been created are listed, with one student message per row.
You can search for the student message you want to translate by entering a search phrase and/or a filter option and click on ‘Filter’ ('Filtrera'). Often, it is enough to enter the message title, but you can also search using other options.
Once you have found the student message you want to translate, click on the arrow next to ‘Edit’ ('Redigera') on the far right of the list. Then click on ‘Translate’ ('Översätt').
You will be taken to a new page that lists the available translations and the ones that can be created. The Student Portal only supports two languages, Swedish and English, so these two are listed. Click on ‘Add’ ('Lägg till') to create a translation.
A page with an admin form for the translation will now open. On this you can edit:
The title
The text
Unpublishing date
Status to published (visible to students) or draft (your changes are saved but not visible to students).
Note that you cannot specify programme or offering references; these settings can only be changed in the language in which the student message was created. Therefore, you cannot have different references for different languages; if needed, you will have to create a completely new student message.
Fill in the form and click ‘Save (this translation)’ or ‘Spara (denna översättning)’.
Edit and unpublish a student message
Click on 'Student messages overview' (in Swedish, 'Översikt studentmeddelanden') in the main menu of the Student Portal.
You will now be directed to an admin page for student messages. Here, all student messages that have been created are listed, with one student message per row.
You can search for the student message you want to translate by entering a search phrase and/or a filter option and click on ‘Filter’ ('Filtrera'). Often, it is enough to enter the message title, but you can also search using other options.
Once you have found the student message you want to edit, click on ‘Edit’ (‘Redigera’) on the far right of the message title.
A page will open with an admin form where you can edit the text and settings of your student message. Update what needs to be updated. You can change:
Title
Text
Programme or offering reference
Status to ‘Published’ (visible to students), ‘Draft’ (your changes are saved but not visible to students), or ‘Unpublished’ (the message is no longer visible to students but can be edited and published again).
Click on ‘Save’ ('Spara') when you have made your changes.
Delete a student message
If you delete a student message, the message will be gone forever. It cannot be restored. If you know you will want to reuse your message in the future, you should instead unpublish the message.
Click on 'Student messages overview' (in Swedish, 'Översikt studentmeddelanden') in the main menu of the Student Portal.
You will now be directed to an admin page for student messages. Here, all student messages that have been created are listed, with one student message per row.

Once you have found the student message you want to delete, click on the arrow next to ‘Edit’ ('Redigera') on the far right of the list. Then click on ‘Delete’ ('Tabort').
A dialog box will appear to confirm that you want to permanently delete the message. Click on ‘Delete’ ('Tabort') to remove the message.
