Questions about login and x-account / xkonto

 I can't log in to POP when I work remotely

This may be because you do not have an active xkonto (account). Contact your local POP administrator.

 I have problems logging in to POP when I work remotely

To log in to POP when working remotely, you must be connected to the university's network via VPN (Cisco AnyConnect). Information on how to connect via VPN can be found on the page - Remote working - VPN.

 My x-account (xkonto) needs to be extended - how to do it?
 My x-account (xkonto) has been disabled
 I am not employed and need to get an x-​​account

Questions about personal data and affiliations

 What can I change myself in POP?

You can maintain the following information about yourself in POP: image, résumé, cover letter, competence, citizenship, external research profiles, academic merits and activities.

If you are a non-employee, you can also edit your first name and last name. Employees maintain this in Primula.

 How do I change information in POP that I am not allowed to change myself?
 How do I find my old affiliations?

You can search for active, expired and future affiliations in POP on your profile page. See more about how to find them on the page About your personal page in POP .

 What is the primary affiliation used for?

You can mark in POP which affiliation is considered the "primary".

  • If you have several affiliations, it is the affiliation that is set as primary that is displayed at the top of the list of affiliation on your person page on gu.se.

Questions about publications

 Which publications are shown in POP and on gu.se?

The publications that are entered in the database University of Gothenburg's publications (GUP) are displayed in POP and then published on the personal page web.

 My publications are not listed on gu.se or in POP

If you have registered publications in the university's publication database (GUP), they should be sent automatically from GUP to POP and published on the web. If something in this chain does not work, you can try the following:

The publication is visible in GUP and in POP, but not on the web

  • This can often be solved by making a small change in POP, for example in your cover letter, and then save. This generates a new export of all data in POP to the web.

The publication is visible under "My publications" in GUP, but not in POP and not on the web

  • Try to resave your publications in GUP. This generates an update from GUP to POP and on to the web.

The publication is not visible under "My publications" in GUP

If none of the above solves the problem, contact your local POP administrator, see list.

Questions about user access to POP

 How to become a POP Administrator?

If you have been appointed to become a POP administrator, you need to apply for authorization by filling out the form Application for administration authorization in POP and OrgDB. The form is available on the following page: medarbetarportalen.gu.se/blanketter/personal

The completed form is sent as an attachment via the form at the bottom of the following page: medarbetarportalen.gu.se/service-stod/for-arbetsgivare/hrsupport

Questions about email addresses

 Which email address can I show on gu.se?

All persons in POP can be shown on www.gu.se with e-mail addresses ending in *gu.se, *ituniv.se, *chalmers.se.

In addition to the above, as a non-employee you can also display a "region" address as below: *regionblekinge.se, *regiondalarna.se, *gotland.se, *regiongavleborg.se, *regionhalland.se, *regionjh. see, * rjl.se, *regionkalmar.se, *kronoberg.se, *norrbotten.se, *skane.se, *sll.se, *regionsormland.se, *regionuppsala.se, *regionvarmland.se, *regionvasterbotten. se, *rvn.se, *regionvastmanland.se, *regionorebrolan.se, *regionostergotland.se, *vgregion.se.

 I am not employed and do not have a GU email address, how do I get one?

Questions about phone numbers

 Why is my phone number not visible?

Information about phone numbers comes from the IT-system CMG/telephony.

Contact the switchboard: vaxeln@gu.se.

 How do I edit my phone number?

Phone numbers, such as fax, mobile number and landline, come to POP from the IT-system CMG/telephony and cannot be edited in POP.

To change information about your phone numbers, contact the switchboard: vaxeln@gu.se.

Questions about what is shown about me on the web

 I am registered in POP but not displyed on gu.se

In order for a person registered in POP to be displayed on gu.se, the following must be fulfilled in POP:

  1. The person must have an active affiliation in POP. This means that the date under "Valid from" must be before today's date. Under "Valid until" it must be empty or a date after today's date.

  2. The box "Displayed on the web" must be checked in the affiliation.

  3. The box "Is of protection" must be unchecked.

If information in an affiliation in POP needs to be changed, contact your local POP administrator. See "POP Administrator list".

 How long does it take before an added person or updates in POP appear on gu.se?

It depends on how much data is currently being exported from POP, and the current data load on gu.se. It may take up to the next day, but usually it’s much faster.

Remember to click "Save Person" after making updates in POP. If the new information is not visible on gu.se the next day, contact your POP administrator.

Your browser's cache can make updates non visible
One reason that updates are not visible on gu.se could be that the browser uses its cache when displaying the page. If so, the latest updates are not visible. To work around this, you can try to clear your browser's cache, and then update your page on gu.se. Clearing the cache is done in different ways in different browsers, if you don't find the function, you can do an online search for instructions.

 The name in the address bar (url) on gu.se is incorrect

The name in the address bar is linked to an email address you have at GU. The e-mail addresses are collected in the Aida source system. Many employees have several addresses, for example if you have changed your name. Incorrect name in the address bar can therefore be due to an e-mail address that is no longer current. If it is important to change the name in the address bar, you can ask your POP administrator for help removing the outdated email address in Aida. Just note that any emails sent to the deleted email address will then no longer reach you.

 What is a POP Administrator?

A POP administrator is a locally appointed person at each department who is authorized to manage information about staff in POP.

 I can't find a POP administrator for my department/unit

The local POP administrators are appointed by the head of each department or unit. If you don't find a local POP administrator for your department/unit in the list, ask your manager for advice.
